Why AI Won’t Fix a Broken Process

In the current dental landscape, we’re being flooded with "magic pills." From AI-driven diagnostic tools to cloud-native platforms that promise to automate your entire front office, the marketing is seductive. It suggests that if you just buy the right tool, your administrative headaches will vanish and your profit will soar.
But after 20 years of managing operations for some of the largest healthcare networks in the country, I’ve learned a hard truth: Technology should support your process, not drive it.
The Automation Trap
Automating a mess only creates a bigger, faster mess. If your team doesn't have a standardized protocol for capturing insurance data or categorizing adjustments, the most expensive AI in the world will simply categorize your errors with higher velocity.
I see many dentists suffering from "Shiny Object Syndrome." They invest in a $150,000 3D scanner or a new SaaS platform before they have identified their "North Star" goals. Without a clear target—whether that’s reducing staff overtime, increasing a specific procedure mix, or hitting a 98% collection rate—technology is just an un-vetted expense.
The "CFO Lens" on Technology
As a Strategic Advisor, I view technology through the lens of Capital Allocation. Before you add a new monthly subscription or a six-figure equipment debt, we have to ask three questions:
What is the Specific Bottleneck? Is the problem a lack of tools, or a lack of process?
What is the Realized ROI? We don't look at "cool features." We look at the break-even point. If this tool saves your front desk 10 hours a week, how exactly does that time translate into recovered margin? We quantify the opportunity cost of allowing the people in your practice focus on higher complexity tasks and building relationships with your patients.
Is the Data High-Resolution? Does this tool provide the clarity needed for a CEO-level decision, or does it just add more "noise" to your reporting?
Clarity Before Implementation
Clarity isn’t found in a software update; it’s found in the data. My goal for my clients is to ensure that the "Business Machine" is calibrated first. We define your goals, optimize your manual workflows, and identify your hidden leaks.
Only then do we select the technology that accelerates your success. When technology supports a proven process, it becomes a powerful lever for growth. When it drives the process, it becomes a liability.
Don't buy a faster engine until you know exactly where you’re steering the ship.
